Nurturing Roots Counselling is fully committed to protecting your privacy and complies with British Columbia’s Personal Information Protection Act (PIPA).

• Data Collection & Booking: We use the LatePoint plugin to securely manage scheduling, calendar slots, and client registration information.
• Payment Security: All credit card processing is handled safely via Stripe. No financial credit card data is ever stored directly on our website servers.
• Virtual Care: Telehealth video sessions are conducted using Doxy.me, a fully secure, encrypted, and PHIPA/PIPEDA-compliant platform.
• Communications: Professional email communications are routed through Google Workspace using enterprise-grade encryption and privacy data-processing safeguards.

Confidentiality & Its Legal Limits

All information shared within our counselling sessions is strictly confidential. Your personal and clinical details will not be revealed to anyone without your written consent. However, by Canadian law, confidentiality must be broken in the following exceptional circumstances:

• If there is clear and imminent risk of serious bodily harm to yourself or someone else.
• If there is reason to suspect that a child (under 19 in BC) or a vulnerable adult is experiencing abuse or neglect.
• If our clinical records are subpoenaed by a court of law.

Virtual Care Boundaries & Jurisdiction

• Location Requirements: As a Registered Professional Counsellor Candidate (RPC-P), I am registered to practice within British Columbia. You must be physically located within BC at the exact time of our virtual session.
• Technology Failures: In the rare event of a video connection failure, I will immediately attempt to contact you via the phone number provided in your intake form to complete our session.

Crisis & Emergency Services

Nurturing Roots Counselling provides scheduled, non-emergency virtual therapy. We do not provide 24/7 crisis intervention.

• If you are experiencing a mental health emergency or feel unsafe, please immediately call emergency services, go to your nearest hospital emergency room, or call a suicide and crisis hotline.

Cancellation & Rescheduling Policy

Our scheduled time together is held exclusively for you. Tending to your wellness goals requires active commitment and consistency.

• 24-Hour Notice Required: If you need to cancel or reschedule your appointment, you may do so via your client dashboard up to 24 hours before your session start time at no charge.
• Late Cancellations & No-Shows: Cancellations made with less than 24 hours’ notice, or missed appointments without notice, will be charged the full session fee ($120) to the credit card on file.
