Welcome to Nurturing Roots Counselling. Before beginning our collaborative therapeutic work, British Columbia provincial law and professional ethical standards require that you review and agree to the following operational policies, legal frameworks, and privacy boundaries.
1. Nature of Counselling Services
Counselling is a collaborative process designed to help you address personal goals, navigate systemic stress, and deconstruct deep-seated patterns. While therapy can lead to significant personal growth and relief, it can also bring up uncomfortable feelings or memories. You retain total agency over your therapeutic process and may pause or terminate services at any time.
2. Virtual Care & Technology (Doxy.me)
All virtual appointments are hosted via Doxy.me, a secure video platform that is fully compliant with the British Columbia Personal Information Protection Act (PIPA) and federal privacy standards.
To maintain privacy, you must join our calls from a private, secure space.
Recording sessions by either party is strictly prohibited without explicit, written mutual consent.
3. Strict Limits of Confidentiality
Your privacy is held with the utmost respect. All information shared within our sessions is kept strictly confidential. However, by law, there are explicit limits where confidentiality must be broken:
Imminent Risk: If there is a clear and immediate risk that you will cause serious bodily harm to yourself or someone else.
Protection of Vulnerable Individuals: If there is reason to suspect that a child (under 19 in BC) or a vulnerable adult is experiencing, or is at risk of, abuse, neglect, or harm.
Legal Subpoena: If our clinical records or the counsellor are subpoenaed by a court of law.
4. Fees, Billing, and Stripe Security
Session Rate: The standard fee for a 50-minute clinical session is $120 CAD.
Secure Payments: Payment processing is securely handled via Stripe. Your full financial credentials are fully encrypted and are never stored directly on our website server.
Financial Ledger Mapping: Charges will appear on your bank statement under the discreet descriptor: NURTURING ROOTS COUNS.
5. 24-Hour Cancellation & No-Show Policy
Because your time slot is reserved exclusively for you, a minimum of 24 hours notice is required for all cancellations or booking modifications.
Cancellations made with less than 24 hours notice, or completely missed appointments (no-shows), will be charged the full standard session fee of $120 CAD.
Emergency exceptions will be evaluated compassionately on a case-by-case basis.
6. Digital Signature & Acknowledgement
By checking the box below, you acknowledge that you have read, understood, and voluntarily agree to these terms, payment conditions, and confidentiality protocols. You also acknowledge that these boundaries will be briefly reviewed live with your counselor during the first few minutes of your intake session.
